Description:
Position functions to perform various complex administrative duties and project coordination in support of the Vice President, Administration (VPA). Duties are performed with a-wide latitude for exercising discretion and judgment. Position requires experience managing confidential matters; must be comfortable working with senior executives as well as interfacing with Directors, support and program staff. Must demonstrate composure and integrity at all times.

Duties:
Include, but are not limited to: maintaining schedule and calendar for the VPA including organizing and scheduling meetings; preparing the VPA for meetings, trainings, seminars, etc.; preparing logistics, notices, minutes, schedules, general correspondence, food/beverage set-up etc., for Agency’s Finance, Technology and Audit Committee meetings; coordinating meetings, appointments and conference calls; corresponding/collaborating with other departmental staff, CDAs and CEDA contractors; maintaining regular communication and interaction with staff and external associates to schedule meetings and appointments, process paperwork, etc.; screening incoming mail/telephone calls and generating responses and/or routing to appropriate staff for the VPA and Director of Accounting; maintaining up-to-date departmental manuals; tracking, following-up and maintaining the departmental project schedule; composing general correspondence and typing documentation; maintaining organizational chart for Administration; preparing spreadsheets, generating reports and creating presentations; securing travel arrangements and coordinating itineraries as needed; providing overall administrative.

Qualifications: 
AA degree, BA pref’d; 5+ years exp. working in a fast-paced nfp environment with strong organizational skills and demonstrated ability to multi-task.  Must be flexible and able to work overtime and respond to rapidly changing priorities. Strong computer/Internet research skills; must be proficient with Microsoft Off. (Word, Excel, PowerPoint, Outlook). Must be proficient with office equipment such as tape recorders, scanners, projectors, and telephone conference equipment. Excellent calendar management skills using Outlook or similar software.

Ideal candidate must be well-organized, detail-oriented, flexible and enjoy the administrative challenges of supporting an office of diverse people and operations. A strong spirit of teamwork and cooperation is needed as well as a positive attitude. Ability to interact with staff, work under pressure, remain flexible/proactive, resourceful, efficient and professional.  Excellent written/verbal comm. with strong decision-making ability; ability to maintain confidentiality.
